Before a property ever appears on a Direct Mail, SMS, or Cold Call list, it passes through several checkpoints designed to make sure you only spend marketing effort on properties worth pursuing. This article walks through those checkpoints so you can understand why a given property may or may not show up on your list.

The Pipeline, In Order

1. Data-Quality Review — is the property’s data trustworthy enough to use?
2. Marketing Plan Assignment — does it qualify for a marketing plan, including BuyBox matching?
3. Duplicate Check — is it the same address/owner/folio as another property already in the run?
4. List Generation — is it ranked high enough to fit inside this cycle’s list size?
5. County Distribution — does its county still have room under your target split?

1. Data-Quality Review

Every property’s data is checked continuously — not just at list time — for problems that would make marketing to it wasteful, wrong, or unsafe. A property can carry more than one flag at once, and each flag clears automatically the moment the underlying data is corrected.

2. Marketing Plan Assignment — Does It Qualify?

A property that clears data-quality review still needs to be assigned a marketing plan before it can be scheduled for contact.

A property can fail more than one reason at once — all are recorded so you can see the full picture.

Watch for: if your BuyBox criteria change and a previously-matched property re-scores to zero, its in-progress plan is automatically cancelled and its scheduled tasks removed. A property can drop out mid-cycle purely from a BuyBox change — even when nothing is wrong with the property itself.

3. Duplicate Identification

Three independent checks each look for properties that match one another. A matched group is the set of properties — usually two, sometimes more — that trigger the same duplicate check against one another (for example, three properties that all share the same mailing address). Within that group, the strongest property proceeds and the rest are set aside for this run. Nothing is deleted or merged.

Important: only properties within your cadence’s own scope are ever compared — its BuyBox(es), its counties and property types, and the same filters described above. Two properties can share an identical mailing address and still never be flagged as duplicates if they belong to different cadences or BuyBoxes.

4. List Generation — Ranking and the Size Cap

A property only enters a channel’s eligible pool if its marketing plan’s current step is for that channel. If a property’s plan is active but its currently due step is SMS or Call, it isn’t part of the Direct Mail pool this cycle — regardless of score — unless it’s pulled in later to round out the list (see below).

No goal set for that channel = no list at all. Each cadence sets a target list size per channel. If that channel’s goal is zero or not configured, no list is generated for it this cycle — no matter how many properties are eligible. This is a cadence setting, not a property issue.

The eligible pool for a channel is ranked, then cut at your configured list size (for example, 5,000 for Direct Mail) — not first-come or random. The highest-priority properties come first.

Being below the cutoff isn’t a rejection — it just means there wasn’t room this cycle. If a channel’s eligible pool falls short of the goal, the system automatically rounds the list back up using other eligible properties, re-checking for duplicates each time.

5. County Distribution — Strict vs. Flexible

This stage is only active when your cadence sets target county percentages; otherwise it’s skipped.

Use Strict when the exact county split is the actual requirement. Use Flexible when hitting total list volume matters more. Every shortfall is logged, per county, target vs. actual.
