Action Plans are automated outreach sequences that guide properties through your sales pipeline. Each property is assigned to an Urgent, High, or Low plan based on its 8020REI Score, ensuring your highest-potential leads receive the most aggressive follow-up.

What Are Action Plans?

Action Plans are structured sequences of tasks and communications tailored to guide properties through the sales pipeline. They automate outreach efforts, ensuring timely and consistent engagement with potential sellers across SMS, cold calling, and direct mail channels.

Each plan defines when and how contacts are reached. The system automatically rotates templates, schedules follow-ups, and adjusts intensity based on a property's priority tier.

How Properties Are Assigned

Properties are classified into three strategic categories using the 8020REI Score, which combines two core indicators: the Likely Deal Score (seller motivation based on distress signals) and the BuyBox Score (how closely a property matches your acquisition criteria).

Plan Score Range Outreach Intensity
Urgent Highest combined score Aggressive multi-channel outreach within 24-48 hours. SMS, cold call, and direct mail in rapid succession.
High Above-average score Consistent follow-up with moderate frequency. Standard multi-channel cadence over weeks.
Low Below-average score Lower-frequency nurturing. Periodic touchpoints to maintain awareness over months.

Sub-tiers (High B, Low B, Low C) provide finer segmentation for investors who want more granular control over their outreach cadence.

Monthly Action Plan Assignment

Each month, the system re-evaluates every property in your list and assigns or reassigns Action Plans. The Monthly Action Plan for Property Owner Contact ensures you engage property owners consistently based on their current score, not a static historical assignment.

The assignment process follows these rules:

  • New properties entering your list are scored and assigned to the appropriate plan immediately.
  • Existing properties may move between plans if their score changes (e.g., new distress signals appear).
  • Contacted properties continue in their current plan unless a disposition change triggers reassignment.

Channels Used by Action Plans

Action Plans coordinate outreach across three primary channels:

SMS Automated text messages using dynamic templates with merge fields (owner name, address). Templates rotate to maintain carrier deliverability.
Cold Calling Scheduled call tasks assigned to your team based on plan priority. Urgent properties are called first.
Direct Mail Printed letters or postcards sent to property owners. Typically used for Urgent and High plans.

Separating Lists by Action Plan (Excel Macro)

If you need to organize your marketing list by Action Plan and create separate Excel files for each category, use the built-in macro. This is useful when uploading segmented lists to external platforms like Launch Control.

Requirements:

  • Excel installed on your device
  • A spreadsheet where column S contains the Action Plan labels
  • Your sheet must be named "Full list"

Enable the Developer tab in Excel (Preferences > Ribbon & Toolbar), open the Visual Basic Editor (Developer > Visual Basic), insert a new module, and run the macro. It will create separate files for Urgent, High, High B, Low, Low B, and Low C categories.

Note for macOS users: You may need to grant additional file-saving permissions when running the macro for the first time.

Frequently Asked Questions

Can I customize Action Plan sequences?

Your Customer Success Manager can adjust the timing and channel mix for each plan tier. Contact your CSM to discuss modifications.

How often are properties reassigned?

Monthly. The system recalculates scores and updates assignments based on the latest data, including new distress signals and BuyBox changes.

What happens when a property changes plans?

The property enters the new plan's outreach sequence from the beginning. Previous outreach history is preserved but the cadence adjusts to match the new tier.
